The Gratia Mission

Resource Request Policy

This policy explains how the Gratia Mission assesses and fulfils requests for free Bibles, rosaries and other Catholic resources. Our resources are limited and are intended primarily for people who genuinely need them and may not otherwise be able to obtain them.

Available resources

Resources may include:

  • A free Bible
  • A free rosary
  • A Bible and rosary set
  • Other Catholic educational or devotional resources made available by the Gratia Mission

Available products, editions, designs and quantities may change depending on funding, donations and stock availability.

Who may submit a request

A request may be submitted by:

  • An individual requesting a resource for themselves
  • A parent or guardian requesting a resource for a child
  • A priest, parish, school, chaplaincy or community organisation requesting resources for someone they support
  • A person requesting on behalf of someone else with that person’s permission or another lawful reason

Priority may be given to applicants experiencing financial hardship or other circumstances that make obtaining a Bible or rosary difficult. This may include people experiencing homelessness or financial hardship, hospital patients, people in prison or detention, students experiencing financial hardship, people referred by a priest or recognised organisation, and people without reasonable access to the requested resource.

Meeting one of these descriptions does not guarantee approval.

Information required

Applicants may be asked to provide:

  • Their name and contact information
  • A postal or delivery address
  • The resource being requested
  • A brief explanation of why it is needed
  • Information relevant to assessing eligibility
  • Details of a supporting priest, parish, school or organisation
  • Consent for us to contact a supporting person where verification is required
  • Other reasonable information needed to process or deliver the request

Applicants should provide only information that is relevant and necessary. Do not provide another person’s personal information without their permission or another lawful reason.

Assessment of requests

Each request may be assessed according to:

  • Genuine need
  • Available resources and funding
  • The applicant’s access to alternative resources
  • Information supplied with the application
  • Reasonable verification obtained with permission
  • Previous requests from the same person, household or address
  • Delivery feasibility
  • Whether the request is consistent with the Gratia Mission’s purposes

We may request clarification or additional information. We may contact a supporting priest, parish, school or organisation where the applicant has provided their details and authorised us to do so.

Approval is not guaranteed

Submitting a request does not create an entitlement to receive a resource.

We may approve, partially approve, place on hold or decline a request because of insufficient stock or funding, missing or unverifiable information, unreasonable quantities, previous resources already provided, suspected fraud or misuse, delivery limitations, abusive conduct, or inconsistency with the program’s purpose.

Where practical, we may notify the applicant of the outcome.

Quantity limits and repeat requests

We may limit the number of resources provided to one person, household, group or address.

Repeat requests may be considered, but applicants may be asked to explain why another resource is needed. Parishes, schools, ministries and organisations seeking multiple resources should contact us before submitting individual requests.

Verification

Reasonable verification may include confirming contact or delivery details, requesting limited supporting information, contacting a supporting person with permission, checking for duplicate submissions and reviewing previous requests associated with the same details.

We will not require more personal information than is reasonably necessary to assess the request.

Applicants under 18

A person under 18 may submit a request. Depending on the applicant’s age, circumstances and the information required, we may ask for the involvement or permission of a parent or guardian.

Where involving a parent or guardian would be inappropriate or unsafe, we may consider another suitable supporting adult, priest, chaplain, school representative or recognised organisation.

Delivery and collection

Approved resources may be delivered by post, courier, collection or another available arrangement.

Options depend on the applicant’s location, available funding and operational capacity. We will advise the applicant of any applicable conditions or costs before proceeding.

Applicants must provide a complete and accurate address. Delivery estimates are not guaranteed, and delays may occur due to stock availability, delivery services or circumstances outside our reasonable control.

Incorrect addresses and returned parcels

We are not responsible for failed delivery caused by an incorrect, incomplete or outdated address supplied by the applicant.

If a parcel is returned, resending will depend on available stock, funding and delivery costs. We may decline to resend where the address was materially incorrect, the applicant cannot be contacted, multiple attempts have failed or misuse is reasonably suspected.

Lost or damaged resources

If an approved resource arrives materially damaged or does not arrive within a reasonable period, contact hello@thegratiamission.com.

We may request the applicant’s details, the date sent, photographs of damage, address confirmation or other information reasonably needed to investigate. Replacement is subject to verification, stock and funding and is not guaranteed.

No resale or commercial use

Resources must not be resold, exchanged for money or another benefit, used for commercial gain, requested using false information, obtained in bulk without approval or used to misrepresent the Gratia Mission.

Resources may be given freely to another person where doing so is consistent with the purpose for which they were supplied. We may refuse future requests where resources have been resold or misused.

False, duplicate or abusive requests

We may reject or cancel requests that appear false, misleading, unnecessarily duplicated, automated, intended for resale, designed to obtain unreasonable quantities, abusive, threatening or fraudulent.

We may restrict future submissions associated with relevant details or addresses. Suspected unlawful activity may be reported where required or authorised by law.

Privacy

Personal information submitted with a request will be handled according to our Privacy Policy. It may be used to assess eligibility, contact the applicant, verify information with permission, arrange delivery, prevent misuse, maintain necessary records and handle complaints.

Submitting a request does not automatically subscribe the applicant to marketing communications.

Complaints and reviews

If you believe a request was handled improperly, you may contact us and ask for a review. Include your name, contact details, the approximate request date, a description of the concern and relevant supporting information.

We will assess the matter and respond within a reasonable period. A review does not guarantee that the original decision will change.

Changes to this policy

We may update this policy when our program, resources, operations or legal obligations change. The current version will be published on our website with its latest revision date.
